USING WBS (WORK BREAKDOWN STRUCTURE) FOR EFFICIENT PROPOSAL PLANNING
Every proposal needs to be carefully planned. Because, a good proposal needs to give us details regarding:
  • A roadmap (including clear milestones)
  • A realistic project schedule
  • Details of resource required
  • Justification of the estimated cost
  • Identification of tasks to be performed
  • Early warning of problems during project
Starting a project without a proposal (or plan) is never a good idea. One can never succeed in a project without a plan because until and unless you don’t have clarity and plan ready for where you want to go (or what you want to achieve), you will never get that. That’s why it is always preferred to make proposal before any project.
One good option is to create a Work Breakdown Structure for the project. WBS is the foundation of any project planning:
  • It is useful to create a Work Breakdown Structure to identify and break down the deliverables in the project.
  • Once all the deliverables are identified, break down each deliverable into successively smaller chunks of work. Break down the deliverables to a point where the project manager can easily manage them.
  • Once completed, arrange these deliverables into groups under the major areas of activity. Add, change, remove and shuffle the deliverables until your WBS is accurate, complete and logical.
  • The purpose of a WBS is to decompose the project deliverables into easily manageable work packages.
The whole work is divided into smaller packages (or single unit) and resources are assigned to each smaller tasks with specified duration. So, in short WBS helps in following ways:
1.   Make a list of all work packages/ task that have to be done to accomplish the goal of the project.
2.   Allocate the resources to each task.
3.   Group those packages of work in logical groups of activities.
4.   Create a logical order of executing these activities.
5.   Make a list, taking into account the groups and logical order.
